April 2022: The Release 81 of Digital HRMS included new functionality and improvements for customizing the modules of HRMS. Admin Config, Asset Management, Recruitment, Employee Management, Leave & Attendance, LMS, Performance Management, Reports & Analytics Separation, and Timeport modules of the HR platform have all updated new features from the Digital HRMS team, expanding upon the platform's wide range of capabilities. A new module- Compensation has been launched for salary and other compensation structure.
Release regarding the enhancements and new module launch in Release 81:
Admin Configuration Module
- In Admin Config - Manage Scheduler - Schedule/Run Scheduler Tab: two radio buttons: “Specific Date” and “End of the Month” options are added. Frequencies displayed: Hourly, Daily, Weekly, Monthly, Yearly, start date, end date, start time, and end time fields included. When “End of the Month” is selected, the scheduler defaults to the last date of the month for the “Start Date” field.
- In Admin Config - Workflow Management, partial workflows can be saved with “(Partial)” added to the workflow name.
- Created email templates for help-desk scenarios: Help-desk request raised, Help-desk updated, Voucher Email Templates:
- Developed email templates for voucher-related situations: Voucher Applied, Voucher Applied Cancellation, Voucher Closure, Voucher Initiated, Voucher Initiated Cancellation
Asset Mapping Module
- The user can refer to the attached flowchart for the current functionality of the Asset Mapping module.
Recruitment Module
- As a recruiter or recruitment manager: “Create Salary Structure” button for creating new structures for employees and “View Salary Structure” button for saved salary structures.
- The color option is available- Green for the selected option (default: Automatic), Grey for non-selected options (e.g., Manual).
- Automatic for salary structure creation- Recommended Notice Period: Pulled from the initiate offer approval page, Joining Bonus: Pulled from the initiate hiring approval, Relocation Charges: Pulled from the initiate hiring approval.
- The user can view and create salary structures for offer letters.
- When selecting Automatic for Annexure Calculation Type- Pre-selected components from the annexure are displayed and components are specific to the employee/candidate’s business unit and location. Fields in Components and Monthly columns are non-editable.
- System validates the total Annual CTC (A + B + C) against the entered values from the initiate hiring page. Displays a warning if negative values are entered (highlighted in red).
Recruitment Module
- Salary Structure Table is visible with saved/submitted values from the initiate hiring page.
- In Compensation Setup: Admin/HR can access Compensation in Admin Configuration.
- Action icons (copy, edit, delete) available at the end of each row. Users can copy existing rows.
- The Title is a clickable link.
- A new position- Onhold is added, where if all the open positions of an RRS are put on onhold then RRS Status will be changed to Onhold on RRS Dashboard.
- The user can check the duplicate candidate data present in the system by email id as the key component to identify the duplicacy of candidate record. A duplicate record is populated in Duplicate Candidate Dashboard as soon as the user adds a candidate in sourcing dashboard.
- Shortlisting approver is not able to see employment etc. details of the candidates on the shortlisting dashboard.
Compensation Module
- A new module called “Compensation” is introduced.
- A sub-module within the admin configuration for compensation is created.
- The purpose of this is to establish a master setup page for compensation management.
- The user can view three tabs on the page: “Setup Compensation Structure”, “Setup Annexure”, “Setup Pay Slip” and default tab is “Setup Compensation Structure”.
- When the user clicks on the title hyperlink, they are directed to the earnings table.
- Added a new tab for managing annexures, Setup Annexure Tab.
- Introduced a “Salary Structure” button.
Employee Management Module
- Country of Employment" as the first field in the section while Employee Details in Create Employee
Leave & Attendance Module
- In Leave & Attendance -Pending Attendance Notifications, for Full Day: "Please regularize attendance as applicable" & Half Day: "Please regularize half day attendance as applicable" is displayed.
LMS Module (Learning Management System)
- Training Options Setup is managed in Admin Config for 'Reference Type’ and Setup Permission tab with two tabs ‘Setup Permission’ and ‘View Permission’.
- Submodules ‘Trainings’, ‘TNI Setup’, ‘Reports’, ‘Survey’, ‘Calendar’ are created.
- Following tabs – My Trainings (visible to all), Repetitive Trainings (visible to all), Suggested Trainings (visible to all), Team Trainings (visible to training coordinator/admin/HR/ manager), All Trainings (visible to all), Pending Approvals (visible to training coordinator/admin/HR/ manager), Manage Trainings (visible to training coordinator/admin/HR/ manager) and Training Request (visible to training coordinator/admin/HR/ manager) are added.
- The user can view as per following permission- Add Training (visible to training coordinator/admin/HR/ manager), Request Training (visible to training coordinator/admin/HR/ manager), Discussion Forum buttons (visible to all) and My Trainings card (visible to all), My Classroom Trainings card (visible to all), My online Trainings card (visible to all).
- My Trainings card displays Completed vs Remaining Training details (in hrs and minutes).
- In ‘View Details’ a pop-up box on top “Below list contains all the training(s) requested by you and proposed by your manager for the quarter(s) – (quarters till date), in the year – (current year)” is displayed.
LMS Module (Learning Management System)
- The user can filter the trainings according to Type of training – Mandatory, Classroom, Online, Optional, Completed, Quarter – Quarter 1, 2, 3, 4.
- There is a search option where the user can key in the required training details.
- There is an indication icon that shows that Training is Online, Classroom, Mandatory, Optional and completed.
- The user can view a waiver icon in case he/she has not attended the assigned/enrolled/mandatory training, which on click should display the reason for not attending the particular training.
- When the user clicks on eye icon, then training details page open and if he/she has not attended the training, then Waiver button should be visible.
- There is a button to download certificate (if any) for training, which on click downloads certificate of the candidate is there.
LMS Module (Learning Management System)
- The user is not able to forward the training (in case of online training) when he/she plays it for the 1st time, after completion of training (even seconds should not be left in the training) the user can replay it then the user should be able to forward the training.
- The user needs to complete all the training hours defined in the training (in case of online training).
- There are Pre-Assessment (if added) visible before the training is started and post-Assessment (if added) after completing the training and attendance (for classroom session) clickable icons on training card.
- There is option to view post-Assessment pop-up window along with questions which on submission displays score and view assessment button, which on click shows the answered non-editable questions.
- Repetitive Trainings page when the user clicks on ‘Repetitive Trainings’ tab can be viewed.
- The list of suggested trainings under Suggested Trainings tab can be viewed.
LMS Module (Learning Management System)
- The list of all trainings under this tab (enrolled, un-enrolled, upcoming trainings etc) under All Trainings tab can be viewed.
- Manage Trainings tab (visible to training coordinator, admin).
- The user can edit the training details by clicking on edit button which redirects to Manage Training page. manage assessment page opens where the user can manage assessment type, duration, passing score and add questionnaire from the questionnaire grid (added in question bank in Admin config.
- All participants related to the training are informed by sending an email notification.
- When user clicks on cancel training, entering the reason to cancel the training is mandatorily and click on submit button.
- An email notification is sent to employee, manager, training team each, when employee enrols, unenrolls from training.
LMS Module (Learning Management System)
- An email notification is sent to employee, manager, training team each, when user assigns (to the assigned participants), pre-assessment score email, post-assessment score email or approves the training(s).
- An email reminder is sent to participant for waiver and feedback for trainings.
- There is a Pending Approvals tab which is visible to managers/training coordinator, admin.
- The admin is able to view and approve all trainings.
- As the user clicks on Add Training button then Manage Training page is displayed. Three subpages in manage training page – 1. Training Information, 2. Trainers & Sessions, 3. Training Content are displayed.
- The user can raise an Ad-hoc Training Request, when he/she clicks on Request Training button on My Trainings page.
LMS Module (Learning Management System)
- The user can create new discussion forum by clicking on ‘Create Discussion’ button.
- There are two action buttons on the page – Cancel and Start Discussion.
- There are two action buttons on edit page – Cancel and Update Discussion.
- Setup TNI page is displayed when the user clicks on Manage TNI.
- Training Goal setting page is be displayed when the user clicks on Manage Goal Setting.
- The user is able to add new training category by clicking on (+) icon and delete added category by clicking on delete icon.
LMS Module (Learning Management System)
- When the user clicks on Reports submodule- Training Reports options are available.
- My Trainings, Team Trainings, Training Evaluation, Feedback Evaluation, Feedback Analysis Tracker, Training Waiver Tracker, Advanced Report, ESAT Report, TNI Report, Trainer Report, Ageing Report and Document Tracker can be viewed in reports.
- The user can group columns using drag & drop to grid header & Download grid data in excel format.
- There is a submodule- Calendar to view trainings and details.
- There is a submodule for Training Survey, to create training surveys for employees in Training Survey Setup page with two sections Add Survey Details and Survey List.
Performance Management Module
- The integration of PMS-LMS modules is done. Radio Button (Yes/No) is displayed for “Enable Training Recommendation” When user selects “Yes”, then additional checkbox "Enable for" with options: Both (Employee & Manager) and Manager are shown.
- All the consolidated training added by the Employee, L1 Manager & L2 Manager is displayed in a grid in the view mode.
- The user can view the rejected trainings and the grid history by clicking on the “View History” button.
- L2 Manager can also add additional trainings for the employee by clicking on the plus (+) icon.
- When the Manager (L1/L2) is filling the appraisal forms, then along with Approve & Reject action buttons, a "Save" button to save the filled form is added.
Reports & Analytics Module
- A new tab 'Compensation' to build report for Recruiter and HR for offered salary structure is available.
Separation Module
- A new tab " Auto Exit interview setup" to map the forms which are already generated in "Question Builder" with BU and Location.
- Based on exit interview setup, system needs to initiate (send) the exit interview form to the employee.
